What conversion can realistically give you

A PDF stores glyph positions, not paragraphs. Converting to Word means reconstructing structure that was thrown away when the PDF was made: guessing which runs of text form a paragraph, which are headings, and which columns belong together. Good converters guess well, but none can recover information that is not in the file.

So the honest expectation is this. Text-based PDFs from a word processor convert very well, often near-perfectly for a simple report. Complex layouts with columns, sidebars and text wrapped around images convert usably but need tidying. Scans convert to a document containing a picture of the page, unless you run OCR first.

Which parts survive and which need fixing

Body text, basic formatting and simple tables usually come through intact. The recurring casualties are worth knowing in advance, so you check them deliberately rather than discovering them after sending the document.

  • Fonts not installed on your machine are substituted, which shifts line breaks.
  • Multi-column layouts sometimes flatten into one column and need re-flowing.
  • Tables without ruled borders may arrive as tab-separated text.
  • Headers, footers and page numbers can land in the body instead of the margins.
  • Form fields become plain text; the interactive behaviour does not survive.

Converting a scan

Try to select a sentence in your PDF. If nothing highlights, the page is an image, and a straight conversion hands you a Word file containing that image — technically a conversion, practically useless.

Run OCR first. That recognises the characters and produces real text, which then converts properly. Expect to proofread: OCR is good, not perfect, and it reliably struggles with handwriting, low-resolution scans, unusual fonts, and the l/1/I and O/0 confusions no spellchecker catches.

When not to convert at all

If you only need to change a date, cover a figure or add a signature, editing the PDF directly is faster and keeps the layout exactly as it was. Round-tripping a carefully laid-out document through Word to fix one number is how a clean page becomes a subtly broken one.

Is the conversion private?

Will the layout be exactly the same?

Close, rarely identical. Simple documents convert almost perfectly. Complex ones — columns, floating images, precise spacing — come through usable but need a tidying pass. That is a property of the format, not of any particular converter.

Can I convert a scanned PDF to editable Word?

Only via OCR. Without it you get a Word document containing an image of each page. Run OCR first, then convert, then proofread the result.

Do I need Microsoft Word to open the result?

No. The output is .docx, which opens in Google Docs, LibreOffice, Apple Pages and the free Word web app.

Why did my fonts change?

Because a PDF embeds its fonts and a Word file only references them by name. If the font is not installed on the machine opening the document, the closest available one is substituted, which changes spacing and line breaks.

Is there a page limit or a watermark?

No watermark, no email requirement, no signup. The conversion runs on your device, so the practical limit is your available memory rather than a plan tier.
